How can I find my work schedule?

  • Review the appropriate calendar on the HR department page under Employee Resources.    
  • Review your union contract on the HR department page under Employee Resources.
  • Contact your supervisor.

I lost/damaged my ID badge. How can I replace it?

  • If you work at 450 Mamaroneck Avenue, please contact the LHRIC Service Desk.

How can I update my personal information? (Address change, name change, etc.)

  • Complete a Personal Data Change Form on the HR department page under Employee Resources (See Forms and Documents). Once completed, please send your Personal Data Change Form to Secretary to School Administrator Kaye Jackson at kjackson@swboces.org.
  • Update your information in WinCapWEB. If you are unable to access WinCapWEB, please contact Executive Assistant for HR Mary Ann Melendez at mmelendez@swboces.org or call (914) 937-3820 ext. 4558.

How do I call out sick or request time off?

  • Instructional Employees - ONLY, please contact your supervisor regarding your center’s procedures (e.g. timesheets) and the use of Frontline Education’s Absence Management module (formerly Aesop).
  • Instructional Employees ONLY, please complete a Request for Time Off Form on the HR department page under Employee Resources (See Forms and Documents).  Submit a completed form to the HR department. 
  • Non-Instructional Employees ONLY, please submit a Sick Day Notification Form or the appropriate Absence Request Form in SchoolFront (See Available Forms).

I’d like to join the Sick Bank. Where can I find more information?


I may need a Family Medical Leave Act (FMLA) leave of absence. Where can I find more information?

  • First, review the U.S. Department of Labor’s webpage on the Family and Medical Leave Act.
  • Complete an application for an FMLA leave of absence in eFMLA.

I lost/damaged my health insurance ID card. How can I replace it?

  • Please contact the Benefits Department: Benefits Assistant Susana Mendez at  sumendez@swboces.org or call 914-937-3820 ext. 4522 or Benefits Coordinator Francesca Zacarolli at fzacarolli@swboces.org or call 914-937-3820 ext. 4509.
  • Please note, it takes approximately 10-14 business days to receive a new card in the mail.

Does SWBOCES offer a health buyout for declining health insurance coverage?

  • No. Southern Westchester BOCES does not offer any type of compensation for declining health benefits.

I want to make changes to my existing benefit elections. How do I do this?

  • Please note that changes can be made during Open Enrollment (mid-November to mid-December). Open enrollment changes take effect January 1st.
  • Please note that there are qualifying life events that may supersede Open Enrollment. These include marriage, divorce, birth/adoption of a child, death and loss of coverage. You have 30 days from the date of the qualifying life event to make necessary changes to your benefit elections.

How can I make changes to my existing payroll information? (Change my direct deposit information, tax withholdings, etc.)

  • Visit the Business Office webpage under Payroll.

What’s my employee ID number?

  • Check your paystub. Your employee number is located on the top left corner of your paystub.

I forgot my TEACH Online Services username and/or password. How can I retrieve this information and/or reset my password?

  • Please contact TEACH Online Services directly. You may visit their TEACH Login Assistance webpage or you can email TEACHHELP@nysed.gov.
  • Please note, you will need to provide your name, the last four digits of your social security number and your date of birth.

I have questions regarding my certification(s)? Where do I start?


Where can I learn more about the course approval process for salary schedule movement? I anticipate a salary movement (BTA ONLY).

  • Review your union contract on the HR department page under Employee Resources.
  • Complete a Course Approval Request Form located on the HR department page under Employee Resources (See Forms and Documents/BTA Procedure for Course Approval for Lane Movement and Forms). Submit a completed form to your center director or designee.
  • Complete the BTA Lane Movement for Approved Courses form located on the HR department page under Employee Resources (See Forms and Documents/BTA Procedure for Course Approval for Lane Movement and Forms). Submit a completed form to Secretary to School administrator Kaye Jackson at kjackson@swboces.org.
  • Career Services Employees ONLY, please complete the Career Services Lane Movement for Certification Progression form located on the HR department page under Employee Resources (See Forms and Documents).   • If you are awaiting final approval for an existing course/activity, please make sure to mark the course/activity complete. The request form will then reroute to the final approver. Who do I send my employment verification request form/application for loan forgiveness form to?

I cannot log into my Global Compliance Network (GCN) training videos. Who can I contact?

  • Please note all employees are required to complete GCN training videos every school year. 

I am thinking about retirement. Where do I start?

  • Review the Retirement Checklist on the HR department page (See Benefits).
  • Review your union contract or Terms and Conditions of Employment contract to understand the eligibility requirements for benefits in retirement.
  • Do not forget to schedule your 1:1 consultation with a representative from the applicable NYS retirement system or Voluntary Defined Contribution (VDC) plan.
